HoofHub is operated by RDU Services Pty Ltd. This Privacy Policy explains how we collect, use, store, and share your personal information when you use the HoofHub platform. By creating an account or using HoofHub, you agree to the practices described in this policy.

1. Who We Are

HoofHub is a web-based platform for horse agistment and management, operated by RDU Services Pty Ltd, based in Australia. References to "we", "us", or "our" in this policy refer to RDU Services Pty Ltd.

2. Information We Collect

Account and profile information
When you register, we collect your name, email address, phone number, and any additional profile details you choose to provide, including emergency contact information.

Horse records
Horse owners and service providers may enter records relating to horses, including health history, veterinary notes, farrier records, dental records, and general care information.

Property information
Property managers may provide property details including address, amenities, contact information, and listing details.

Messages
We store messages sent between users within the platform for the purpose of facilitating communication. RDU Services Pty Ltd does not actively monitor or review private messages between users as a matter of routine. However, messages may be accessed and reviewed where required for safety, legal compliance, investigation of a reported breach of our Terms, or dispute resolution. By using the messaging feature, you acknowledge this possibility.

Usage data
We may collect technical information such as browser type, device information, IP address, and pages visited, for security and platform improvement purposes.

Subscription and billing information
If you subscribe to a paid plan, we collect billing-related information. Payment processing is handled by third-party providers and we do not store full payment card details.

Accuracy of information you provide
You are responsible for ensuring that the information you submit to HoofHub is accurate, current, and complete. RDU Services Pty Ltd does not verify or validate user-submitted data, including profile details, horse records, emergency contact information, or property listings.

3. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the HoofHub platform
  • Enable communication and coordination between users
  • Display appropriate information to other users based on your role and your privacy settings
  • Process subscription payments and manage your account
  • Send account-related notifications (such as invitations, announcements, and billing updates)
  • Improve platform functionality and user experience
  • Comply with legal obligations

4. How Information Is Shared

HoofHub operates a role-based visibility model. What other users can see about you depends on their role and your privacy settings.

Public visitors
Can only see basic property listing information (name, location, amenities, and availability) for properties that have been set to publicly listed. No personal user data is visible to the public.

Property managers
Can see the name, email address, contact details, and emergency contact information of agistees on their property, subject to each agistee's privacy settings. Managers use this information for the purposes of managing the property and the welfare of horses in their care.

Fellow agistees
Can see the names of other agistees on the same property. Email address and contact details are only visible to fellow agistees if you have opted in to direct contact sharing for that property. Emergency contact information is never shared with other agistees.

Service providers
Service providers have limited visibility based on the relationships established within the platform. They do not have access to agistee contact or emergency contact details.

Third-party service providers
We may share data with trusted third parties who assist us in operating the platform, including hosting providers, email delivery services, and analytics tools. These parties are bound by confidentiality obligations and may not use your data for their own purposes.

Legal requirements
We may disclose your information where required by law or to protect the rights, safety, or property of RDU Services Pty Ltd, our users, or the public.

Emergency contact information
Emergency contact details you provide are stored and made available to property managers on a per-property basis, subject to your privacy settings. You acknowledge that:

  • Emergency contact information is user-provided and may not be accurate, current, or reachable
  • RDU Services Pty Ltd does not verify emergency contact details and cannot guarantee their accuracy
  • The availability of emergency contact information within the platform does not constitute an emergency response service
  • RDU Services Pty Ltd is not responsible for any outcomes arising from the use of, absence of, or failure to act upon emergency contact information stored on the platform

We do not sell your personal information to third parties.

5. Your Privacy Controls

HoofHub gives you control over what information is visible to other users:

  • You can choose whether your contact details are shared directly with fellow agistees or kept visible to managers only
  • You can choose whether to share your emergency contact information with property managers on a per-property basis
  • You can update your profile information at any time through your account settings

Your choices apply at the property level where relevant, meaning you can set different preferences for different properties you are associated with.

6. Data Security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS), access controls, and secure hosting infrastructure.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. If you request deletion of your account, we will delete or anonymise your personal data, except where we are required to retain it for legal or compliance purposes.

Horse records, billing records, and message history associated with your account may be retained for a period after account closure in accordance with our legal obligations.

Some data may be retained in anonymised or aggregated form after account deletion, where it no longer identifies you personally. This may be used for platform analytics, service improvement, or reporting purposes.

8. Your Rights

Under Australian privacy law, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information, subject to legal retention requirements
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe your privacy rights have been breached

9. Cookies and Tracking

HoofHub uses cookies and similar technologies to maintain your session, remember your preferences, and understand how the platform is used. You can control cookie settings through your browser, though disabling cookies may affect platform functionality.
